Privacy Policy

This Privacy Policy describes how R.E.A.L, LLC (“we”, “us” or “our”) collects, uses, discloses and protects personal information when you use FDD AI (fddai.org). Our Data Handling Policy provides additional information about how we handle the questions you ask, documents you upload, and research FDD AI produces for you. This Privacy Policy and the Data Handling Policy should be read together.

We collect the following categories of information when you create an account and use FDD AI:

We use information collected through FDD AI to create, authenticate and maintain accounts; operate and provide the service; process questions and uploaded documents; generate research answers and reports; maintain projects and share links; calculate usage charges and maintain account balances; process payments and refills; provide customer support; troubleshoot and maintain the service; prevent fraud, abuse and unauthorized access; protect the security and integrity of FDD AI; and comply with applicable legal obligations.

We also use contact information to send operational communications such as account verification messages, receipts, low-balance notices and security notices. If you choose to receive optional research digests or similar communications, we use your contact information to provide those communications.

We may use anonymised usage patterns to understand how FDD AI is used, identify gaps in the FDD library, and improve the service. We do not sell personal information, use your questions or uploaded documents for advertising, or use uploaded documents to train AI models.

3. AI processing and research content

FDD AI uses third-party artificial-intelligence infrastructure to provide portions of the service. Research questions are currently processed by Anthropic under commercial terms that prohibit the provider from using your content to train its models. Uploaded documents are processed through Amazon Bedrock under a zero-data-retention arrangement and are not used to train AI models.

Questions and uploaded documents are handled differently, and uploaded documents receive additional protections and limited retention. Our Data Handling Policy explains these processes in detail, including what information is sent for AI processing, what FDD AI retains, how uploaded documents remain separate from the FDD library, and when uploaded materials are deleted.

Our technology and service providers may change as FDD AI evolves. If a material change affects how user content is handled, we will update our policies as appropriate.

4. When we share information

We disclose personal information only as necessary to operate and protect FDD AI, at your direction, or as required by law. Service providers that assist us include Stripe for payment processing; Amazon Web Services, including Amazon Bedrock, for AI processing; Anthropic for AI processing of research questions; Mailgun solely to deliver emails we send to users; and our hosting provider. These providers receive or process information according to the functions they perform for FDD AI.

If you are part of an organization account, the organization’s administrator can see administrative information necessary to manage that account, including your name, the number of questions you have asked and the cost associated with your usage. Organization administrators cannot use the administrative interface to view the text of your questions or open your uploaded documents. Membership in an organization account does not, by itself, make your research available to other members of that organization.

When you intentionally create a share link, anyone who receives or obtains that link may be able to view the information made available through it. You are responsible for deciding with whom you share a link, and you may revoke a share link through My Research.

We may disclose or preserve information where reasonably necessary to comply with applicable law, regulation, subpoena, court order or other valid legal process; protect the rights, property or safety of R.E.A.L, LLC, our users or others; investigate fraud, abuse or security threats; enforce our Terms of Service; or establish, exercise or defend legal claims.

If R.E.A.L, LLC or FDD AI is involved in a merger, acquisition, financing, reorganization or sale of all or part of the business or its assets, information associated with the service may be transferred as part of that transaction, subject to applicable law and the protections applicable to that information.

We do not sell personal information and do not share personal information with advertisers.

5. Cookies

FDD AI uses cookies that are necessary to operate the service, including cookies used to keep you signed in and protect forms and accounts against misuse. We do not use analytics or advertising cookies. You can configure your browser to block cookies, but FDD AI will not function properly without cookies required for authentication and operation of the service.

6. Retention and deletion

We retain account and usage information while your account remains open, subject to the specific retention periods applicable to different types of information. Uploaded documents, including the original file, extracted text and structured data derived from the document, are retained for no more than 30 days after upload unless you delete the document or its project sooner. Questions, answers and reports remain available for as long as your account exists or until you delete them. Deleting an uploaded document does not automatically delete an answer or report previously generated from it.

Billing records are retained for 7 years for tax and accounting purposes. When an account is closed, personal information is deleted or anonymised within 90 days except billing records and other information we are required to retain by law. Additional information about retention and deletion of research content is provided in our Data Handling Policy.

7. Security

We use technical and administrative safeguards intended to protect information handled through FDD AI. Traffic to fddai.org is encrypted in transit. Uploaded documents and extracted text are stored in systems controlled by or operated on behalf of FDD AI, with access restricted to the service and to personnel who require access for legitimate operational or support purposes. Passwords are stored in hashed form, user sessions expire, and changes to an account email address require confirmation from the new address.

No information system, method of electronic transmission or storage system can be guaranteed to be completely secure. If we learn of a security breach affecting your information, we will provide notification where required by applicable law. You are also responsible for protecting your account credentials and controlling the distribution of share links you create.

8. Your choices and privacy rights

You can view and change certain account information through your FDD AI account and can delete questions, documents and projects through My Research. You can disable auto-refill through Balance & billing and manage optional communications through the controls provided with those communications.

You may contact us to request a copy of personal information associated with your account, correct account information, or request closure and deletion of your account. We may need to verify your identity before fulfilling a request, and certain information may be retained where permitted or required by law.

Depending on where you live and the laws applicable to you and to FDD AI, you may have additional privacy rights concerning your personal information. These may include rights of access, correction, deletion, portability, restriction or objection to certain processing. Where applicable, you may also have the right to lodge a complaint with an appropriate privacy or data-protection authority.

9. Children

FDD AI is intended for business and professional users who are at least 18 years old. We do not knowingly collect personal information from children. If we learn that personal information from a child has been submitted to the service, we will take appropriate steps to delete it.

10. International users

FDD AI is operated from the United States, and our servers and service providers are located in the United States. If you access FDD AI from another country, information you provide may be transferred to and processed in the United States, where privacy and data-protection laws may differ from those in your country.

11. Changes to this policy

We may update this Privacy Policy as FDD AI, our technology, our service providers or applicable requirements change. When we make changes, we will post the updated policy and revise the “Last modified” date above. When a change is material, we will ask you to accept the new version the next time you sign in and will record your acceptance.

12. Relationship to the Data Handling Policy

This Privacy Policy describes our general collection, use, disclosure and protection of personal information. The Data Handling Policy provides more detailed information about how FDD AI handles research content, including questions, uploaded documents, projects, generated answers and related data.

If you intend to use FDD AI with confidential, proprietary, client-related or other sensitive business information, you should review the Data Handling Policy to understand how that information is processed and retained.
